Quick Start Guide
XperienceED (XED)
Adding Learners to your Group
Once Group setup is complete, the next step is to get learners connected to the correct group(s). To begin, learners must have their own account within the XED platform. Then, they can connect to the Group using the Group Code.
There are three different ways to accomplish this.
OPTION 1: LEARNER REGISTRATION
OPTION 2: IMPORTING USERS
OPTION 3: MANUALLY ADDING USERS
OPTION 1: LEARNER REGISTRATION
The instructor must provide the learner with the Group Key prior to registering. The Group Key is found in two locations.
Location 1:
Click on the Group Management button from the left navigation menu.
Find your Group.
Here you will see the Group Key is available for quick access.
To copy the Group Key, simply click the “copy to clipboard” icon next to the code.
This functions the same as selecting and copying the code.
Paste the code wherever needed.
Location 2:
From the Dashboard, scroll down to Groups and ensure the Active Groups tab is selected.
The Group Key is displayed directly underneath the name of each active group.
To copy the Group Key, simply click the “copy to clipboard” icon next to the code.
This functions the same as selecting and copying the code.
Paste the code wherever needed.
Step 1:
Once you have provided the Group Key to your learners, they can register themselves at xperienceed.com.
Step 2:
Under the Login button, click the Register link.
Step 3:
Enter the Group Key and click Verify Code.
Step 4:
Depending on your age, choose Under 13 or 13 and Older.
Enter your contact information, select your preferred language and Avatar. Then, click Next Step.
Step 6:
Complete the Security Questions, create a password, and check the box to agree to
XED's Privacy Policy and Terms of Use. The other 2 checkboxes are optional. Then, click Next Step.
Step 7:
Read and Accept the XperienceED End-User License Agreement and then click Register.
Step 8:
As a confirmation that all steps were completed correctly, you will be informed that you successfully registered.
Step 9:
The learner will now arrive to the Dashboard with their assigned courses! To begin a course, simply click Go to Course.
OPTION 2: IMPORTING USERS
Using the Instructor role, the Import Users option is available from the main, left side, XED navigation pane. Import Users is the best way to import a list of students in bulk. This article will document the procedural steps.
Note: Currently, only users with the Learner role can be imported. If the user needs Admin or Instructor role rights, then this type of user will use different instructions to create an account.
Step 1:
On the left navigation menu, click Import Users.
This page has two menu tab options – IMPORT and IMPORT HISTORY.
General Notes instructions are also provided, along with default setting form options and a post import results grid.
Step 2:
Review the General Notes. To access the import template spreadsheet, on the IMPORT tab, click on the blue hyperlink labeled CLICK HERE to download the Import template spreadsheet.
Note: This document will need to be downloaded locally or to a network drive and the Enable Editing option clicked to begin entering data.
The template spreadsheet worksheet is named ‘Users’, and has the following columns:
First Name – required field
Last Name – required field
Username – required field, must be unique (validation is performed during import).
Email – populate (use proper formatting) or, if the user is under the age of 13, leave blank.
Password – required field.
Activation Code – required field. This value can be different per user row, but must be a Group Key, properly formatted, that originates from XED.
Note: All fields are required except email. Leave this blank if the user is under the age of 13.
Step 3:
Using applicable data, populate each column accordingly.
Note: Be careful using the Excel Auto-fill feature, especially in the Activation Code column, ensuring that the original value is not incremented or altered erroneously.
Step 4:
Save the spreadsheet.
Step 5:
Fill in the fields for Language Preference, Country/Region, State/Province/Region, and City. The two checkbox options are optional.
Step 6:
Drag and drop your Excel file or click to browse for the file.
Step 7:
The upload will start automatically, displaying a preview of the names and information. At this stage, you can initiate the import process by clicking the IMPORT USERS button to complete the import. Alternatively, you can navigate back to the spreadsheet to correct any issues or errors. After addressing these concerns, repeat Step 6.
If preferred, you can also choose to import only the items marked with a check in the Import column of the results grid, which have successfully met the criteria.
Step 8:
Success! As denoted via a message bar, you’ll be emailed upon completion of the import – generally only a few minutes – and/or you can click the IMPORT HISTORY tab near the top of the page to view details of this and possibly previous imports. Use the REFRESH button as needed.
OPTION 2: MANUALLY ADDING USERS
Note: This option only works if the learner is already registered with XED and attached to a class within your organization.
Step 1:
Select Group Management from the left navigation menu.
Step 2:
Select Users within the course you would like to add learners to.
Step 3:
Select the Learners tab.
Step 4:
Choose + Add Learner.
Step 5:
Search for the user by their username or email address. Remember, this option only works if the learner is already registered with XED and attached to a class.
Step 6:
Confirm the user information is correct and click Add User.
Step 7:
XED will confirm the user was successfully added. Their name now appears on the user list.
